Creating Invoices

  1. Click on the Payroll tab.
  2. Click on Invoices under the Bill-To’s section.

  1. The box to the left has the list of names of your current Bill-Tos. You can select a Bill-To individually, select a few by holding down the CTRL key on the keyboard and clicking on each name, or for all of your Bill-Tos by selecting the “All” option at the top of the list.
  2. On the right-hand side of the screen, you can specify the sport and level for the invoice to be created.
  3. The box located in the middle of the page with the section to View/Print Invoices contain settings that will be applied to the invoices.
  • From and To: The start and end date of games or add/deducts that these invoices will run for.
  • Preview By: You can preview the invoices by date or by the level.
  • Date: The date stamped that the invoices were created. Typically, this has today’s date.
  1. Click on create and a message will be shown with the results of the creation for each official selected.

*NOTE: If invoices are created and the total amounts are not correct, make sure to DELETE the created invoices BEFORE altering the bill amount on a game. Then you can take steps to create a new invoice. Otherwise, the changes will not reflect on the invoices.



 

Viewing Invoices

Once you’ve created an invoice, you may view it and check to see if anything needs to be adjusted. When viewing invoices, you may view them one by one or all at once.

  1. Click on the Payroll tab.
  2. Click on Invoices under the Bill-To’s section.

  1. If you’d like to see one specific invoice, click on the Bill-To’s name. If you’re going to be seeing them in mass, you can hold down the CTRL (Command for Apple Users) key and click each name. If you’d like to select all Bill-Tos, click All.
  2. Click on View/Print Invoices.

Next, you’ll be taken to View and Print Invoices page. This will have the already created invoice with the amount, date, and the name of the Bill-To.



 

Printing Invoices

As you are viewing your invoices, you may print these out or get a PDF, Excel, Word, etc., file containing the records of the invoices and save them into your computer.

  1. Click on the Payroll tab.
  2. Click on Invoices under the Bill-To’s section.

  1. Select the invoice(s) that you want to print and click on View/Print Invoices.
  2. To select an invoice, check the box of the invoice located at the left—hand side. To select all in mass, check the top box in the first column.
  3. Click on Print Invoices.
  4. Select the export format and what details you want to be included on the page. You may also add a note on these Invoices that will be displayed under the Bill-To’s address of each Invoices print page. If the note will be used again on the future, you can save the text by clicking on Save at the bottom of the Note box.
  5. Click on Print Preview.

Note: You will have to allow the pop-up if it is blocked.



 

Adding a Receipt

Within Arbiter, you can enter a receipt for when the Bill-To paid for said amount.

  1. Click on the Payroll tab.
  2. Click on Invoices under the Bill-To’s section.

  1. Select the invoice(s) that you want to add a receipt for and click on View/Print Invoices.
  2. Under the Receipt Column, click on the blue number displayed.

  1. Click on the Green Plus sign.

  1. In the Add Receipt page, proceed to fill out the date it was paid, the amount, the payment method, Reference/Check No., and a Memo.
  2. Click Save.

Deleting Invoices

If you no longer need an invoice in your Arbiter system, you may delete them.

  1. Click on the Payroll tab.
  2. Click on Invoices under the Bill-To’s section.

  1. Select the invoice(s) that you want to delete and click on View/Print Invoices.
  2. If you have entered a receipt, delete the receipt first by clicking on the number under the Receipt column and hitting the red X.
  3. Select the box next to the Invoice and click on Delete Selected at the bottom of the page.
