How to track physical or certification expiration dates on Arbiter Student Registration?

In this article, you’ll learn how to create an internal field to track physicals, certifications, or other document expiration dates within Arbiter Student Registration. You must know how to create an internal field before proceeding. For detailed instructions, click here to learn more.

This tutorial video shows how to track coaches’ certification expiration dates, and can also be used to learn how to track physical expiration dates. It's especially helpful if you’ve created a report designed to monitor all expiration dates. If you need help creating a report, click here for more information.

  1. Click Organization.

  1. Click Internal Fields.

  1. Click Create Internal Field.

  1. Enter the title of your Internal Field.

  1. (Optional) Enter a description.

  1. Select Expiration Date (Date + time period).

  1. Under Date entered on registration will be calculated to expire, enter a number and select either years, months, or days from the dropdown.
    • This will allow Arbiter to calculate the expiration date.

  1. Specify how many days in advance Arbiter should send reminder notifications to participants about their form’s expiration.
    • Arbiter can send up to two automatic expiration reminders.
  2. Checkmark Send expiration reminder day of expiration.

  1. Under Send expiration reminder to: you can send a copy of the automatic expiration email to the following:
    • My organization and program notification email(s).
    • Participant user account email(s).

  1. Enter the message that will appear in the reminder email.
  2. Check mark Apply data to future registrations, and Allow participants to see this data.
  3. Click Save.
