ArbiterGame now sends transportation details directly to Trip Request. When you schedule a game or event that needs a bus, the trip request is created for you — no re-entering dates, times, locations, or bus times in a second system.
This integration replaces the previous connection between Activity Scheduler and Trip Request.

What this integration does
When you save a game or event in ArbiterGame with Transportation Required checked, ArbiterGame automatically creates a matching trip request in Trip Request. From that point on, the two stay in step:
- Change the date, time, location, or bus times → the trip request updates automatically
- Cancel or delete the event → the trip request is cancelled automatically
- Uncheck Transportation Required → the trip request is cancelled automatically
Your transportation coordinator sees accurate passenger counts, destinations, and timing without anyone re-typing them.
Note: Your event always saves, even if the trip request can't be sent at that moment. You'll never lose scheduling work because of a transportation hiccup.
Getting set up
The integration is enabled per school by an Arbiter administrator, using the Trip Request Tenant field on the School Configuration page.
Once the tenant is configured and the school is licensed for Trip Request, transportation information begins flowing from ArbiterGame to Trip Request for that school.
If your school isn't set up for Trip Request, nothing changes — ArbiterGame behaves exactly as it did before, and no transportation data is sent anywhere.

Requesting transportation for a game
- Create or open a game in ArbiterGame.
- Check Transportation Required.
- Fill in the transportation details:
- Number of Passengers
- Dismissal time
- Leave / depart time
- Return time
- Trip notes (optional)
- Click Save.
ArbiterGame creates the trip request and stores its Trip Request ID on the game, along with a success indicator so you know it went through.
Which games generate trip requests?

Number of Passengers is required when transportation is required and your school is set up for Trip Request. Your transportation coordinator needs it to book the right size and number of buses. If your school isn't set up for Trip Request, the field isn't required.
Requesting transportation for a non-game event
The same process applies to practices, meets, and other non-game events.
- Create or open a non-game event.
- Check Transportation Required.
- Enter the number of passengers, dismissal time, leave time, return time, and any trip notes.
- Click Save.
For non-game events you can enter or change transportation information in two places:
- On the Event Details page
- Through the Transportation Details button
Either one keeps Trip Request in sync.
Changing a trip after it's been requested
Just edit the event and save. ArbiterGame updates the existing trip request rather than creating a second one — the Trip Request ID stays the same, so your coordinator is working from one record throughout.
Changes that update the trip request:
- Event date
- Event time
- Event location
- Bus times — dismissal, leave, return
- Number of passengers
- Trip notes
Editing anything unrelated to travel — officials, scores, game status — won't touch the trip request.
If a game or event didn't have transportation requested and you now check Transportation Required, saving creates a brand-new trip request.
Cancelling transportation
There are two ways a trip request gets cancelled, and both happen automatically.
Uncheck Transportation Required. Open the event, uncheck Transportation Required, and save. The trip request is cancelled in Trip Request. The event itself stays exactly as it was — only the transportation is affected.
Cancel or delete the event. If a game or event with an active trip request is cancelled or deleted, the cancellation goes to Trip Request automatically. Your coordinator won't be preparing a bus for something that isn't happening.
Important: Cancelling is not reversible in place. If you re-check Transportation Required after a cancellation, ArbiterGame creates a new trip request with a new ID — the cancelled one isn't reinstated. Let your transportation coordinator know if this happens on a trip they were already working on.

Troubleshooting
My trip request isn't appearing in Trip Request.
Check the following:
- Is a Trip Request Tenant configured for your school on the School Configuration page? Without it, nothing is sent.
- Is Transportation Required checked on the event?
- Is Number of Passengers filled in?
- For a game — is it an away game or a home game at an off-site location? Home games at your own site don't generate trip requests.
If all of the above look right, contact ArbiterSports Support with the event date and the school Entity ID. Every sync attempt is logged, so Support can look up exactly what happened.
My event saved but the trip request didn't go through.
That's intentional — ArbiterGame never blocks a save because of a transportation issue. Re-open the event and save it again to retry.
I see two trip requests for the same event.
Saving the same event repeatedly won't create duplicates. If you're seeing two, one may be a cancelled request from an earlier round of edits. Contact Support if you're unsure which is current.
Number of Passengers is asking for a value and I don't need it.
Number of Passengers is required whenever transportation is required at a school set up for Trip Request. If your school shouldn't be sending trip requests at all, the Trip Request Tenant may be configured when it shouldn't be — contact Support.
