This article explains the purpose of the Crews feature, how it functions, when it should be used, and common setup requirements that affect its behavior.
Crews is designed for assigners who regularly schedule the same group of officials together (most commonly in football). Rather than assigning each official individually, assigners can designate a crew chief and associated crew members. When the crew chief is assigned to a game, Arbiter One can automatically populate the remaining crew members into the available positions. Crew Assign can significantly reduce manual assignment work and can help you consistently assign the same officials for a single game.

How to Set Up Crews?
- Click Resources.
- Navigate to Crews, under Utilities.
- Select the Sport from the drop-down.
- Add your Crew Chiefs by clicking Insert, selecting an official from the Available Crew Chiefs list, and automatically they will appear in the Crew Chiefs box. Repeat this process until all Crew Chiefs have been added. When finished, click Close to exit the Available Crew Chiefs window.
Important: On the right side, you'll see all available officials along with their assigned ranks. It’s important that officials are ranked for the positions they will be assigned to. Otherwise, when scheduling a crew, some positions may remain unfilled because there are no qualified officials available for those positions.
Warning: Be careful when selecting officials while building a crew. Clicking an official's name in the Available Officials list immediately begins the process of adding that official to the crew and refreshes the page. If you accidentally select the wrong official, you must remove them from the crew by clicking on the official, then click Delete. Locate the intended official and add them. Additionally, the Available Officials box is not a search field, so clicking inside the box and typing a name will not perform a search and may result in an unintended selection. Double-check your selection before clicking an official's name.
- Add your Crew Members by clicking Insert, selecting an official from the Available Crew Members list, and automatically they will appear in the Crew Members box. Repeat this process until all Crew Members have been added. When finished, click Close to exit the Available Crew Members window.
Enable Crew Assign for the Appropriate Sport and Level
- Click Resources, then click the number under the Levels column for the sport you want to enable Crew Assign.
- Click the edit pencil on the level you want to enable Crew Assign.
- Checkmark Crew Assign.
How to Schedule your Crew
You must have a schedule already set up in order to schedule your crew.
- Click Schedule, and locate the game you want to assign a crew by opening the Slots.
- Click Assign.
- Find your Chief Crew member and assign them to the game.
- Arbiter One automatically places associated crew members into the remaining assignment slots.
Event Slot Requirements
One of the most common setup issues involves assignment slot availability.
The number of available positions on the event must match the total number of officials in the crew. If the crew contains five officials but only four positions exist on the event, the feature will exclude one of the officials from your event.
Note: Always verify that the event contains enough assignment positions for the Crew Chief and all associated Crew Members. Insufficient positions will prevent automatic assignment from working correctly.
Common Troubleshooting Steps
If Crew Assign is not working as expected, verify the following:
- Crew Assign is enabled for the sport.
- The Crew Chief has assigned Crew Members.
- The event contains enough assignment slots for the number of crew members.
- The officials are ranked under the correct sport and position.
- Ensure that all officials you put in a crew are set to Ready to be Assigned.
